Vendor meetings can be fun as well as stressful, but should be productive. Sometimes, clients and vendors need to go back and forth until they finally arrive on the same page and see the same vision for the wedding.  While email and phone conversations can be effective, one-on-one meetings can be  advantageous as well. Below are some tips to communicate your needs, ideas, and concerns about your wedding to a prospective vendor.

 

  • Know Your Budget and Priorities

 

It’s important to have a budget set before you meet any vendor. While browsing the web for vendors, go with those whose prices or packages you can afford or are generally within your price range.

 

You should also prioritize your budget based on your needs and style. For example, you may prefer  to spend more on food  or entertainment and cut back on flowers.

 

 

  • Come Prepared

 

Before meeting with vendors, make sure you have a list of things you will be discussing with them. Identify the questions you want to ask and the ideas you want to discuss before scheduling a vendor meeting. Also, after you’ve chosen and contracted your vendors, be sure to share every detail of your wedding with them even if it doesn’t directly relate to their services. Tell them what you want and expect so they can help you with your vision. Sharing this level of detail  is very helpful not only to you, but also to them.

 

 

  • Be Open to Suggestions

 

You may already have a clear idea of what you want and need but that doesn’t mean you should reject every suggestion your vendor makes. Listen to them carefully and you may just pick some inspirations or get more ideas from them. Keep in mind, they have done hundreds or thousands of events and generally have an idea of what works and what doesn’t work as well.

 

 

  • Bring Your Partner 

 

Your partner’s opinions really matter during vendor meetings. Vendors like DJs always love to meet the couple to determine their style and taste. This will help them personalize their services based on your taste.

 

 

  • Beware of Rip-Offs

 

Before signing the contract, ensure that every detail and specifics are in it. This includes the agreed price, date,  time, services being provided, etc. Check the authenticity of the vendor before working with them by checking online sources and reviews on third party sites like Google, or their facebook business page. See what others are saying about them ahead of time.
